Diplomatic Assistant/Scheduler


The Embassy of Japan is seeking a highly motivated, team-oriented individual for the position of Diplomatic Assistant/Scheduler for the Congressional Affairs Section. The position provides an excellent opportunity to work for a foreign diplomatic mission while gaining insight into international affairs and its relation to the U.S. Congress from a unique inside perspective. The Embassy offers group health insurance coverage, paid vacation and sick leave. Working hours are 9:00 am – 5:30 pm, Monday through Friday, and the occasional weeknight and/or weekend event (paid overtime). Salary is commensurate with experience. The monthly pay range for this position is USD 3,500 - 5,800.

Responsibilities

  • Manage calendars and schedule appointments with U.S. Congressional offices as well as various stakeholders while staying abreast of policy priorities in the context of Japan-U.S. relations.
  • Make necessary arrangements for business meetings, breakfasts, lunches, and dinners, including making reservations and coordinating transportation.
  • Assist in scheduling appointments and managing logistics for visiting government officials, including members of the Japanese Diet.
  • Draft, proofread, and edit official documents and correspondence, including the Ambassador’s letters and speeches in English as well as drafting language for the Congressional Affairs Section’s official social media account.
  • Assist in organizing congressional events, including coordinating with the venue, drafting invitations, managing the guest list and logistics in coordination with diplomatic staff.
  • Serve as the first point of contact between the Embassy’s diplomatic staff, visiting government officials and U.S. Congressional offices with an opportunity to network with congressional staffers.

Required and Preferred Qualifications:

  • Fluent in English, Japanese ability is a plus
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to manage multiple tasks in a fast-paced environment
  • Ability to perform under strict deadlines
  • Excellent attention to detail and communications skills (both verbal and written)
  • Bachelor’s degree or equivalent experience
